Enquiries and the information you choose to provide
We receive the details you give us through the quote form or when you contact us directly. These can include your name, company, phone or WhatsApp number, email address, delivery town, product, dimensions, quantity, application, delivery requirements and message.
Making an enquiry is voluntary. To send the website form, you must provide your name, company, product and at least one contact method: a phone number or email address. These are requirements of the form, not a statement that a law requires you to supply them. The other quotation fields are optional. Without a contact method we cannot reply; without enough product or delivery information we may need to ask questions before quoting.
Please include only information needed for your business enquiry. Do not send identity documents, payment-card details or sensitive personal information through this form. The website has no online payment checkout or file-upload field.
Why we use enquiry information
We use your information to respond to your request, clarify specifications, prepare and follow up on a quotation, and arrange supply or delivery if you order. Submitting this website form does not automatically subscribe you to a marketing mailing list.
We also use limited website and source information to protect the form from abuse, understand which pages or advertisements bring enquiries, and improve the website. An enquiry reference links the accepted form request to our business email and helps avoid duplicate advertising conversion counts. It does not establish the quality of a lead or whether an order was placed.
Website measurement, cookies and browser storage
The website uses Google Analytics and Google Ads. Their tags load when you visit a page; the website currently does not offer an on-site cookie consent selector. Google may receive technical information such as your IP address, browser and device details, pages visited, cookie or advertising identifiers and interactions. Our own custom analytics events do not include the contact details or messages entered into the quote form.
Browser session storage holds the landing-page path, referring website hostname and available campaign or advertising click identifiers. We use this source context for up to 30 minutes, and it may accompany an enquiry email. This is a limit on attribution use, not a promise that every stored copy is automatically deleted after 30 minutes. Browser session storage normally ends when the tab's session ends and can be cleared in your browser.
A separate one-use session marker records an accepted quote submission on the thank-you page. Where available, its enquiry reference is sent to Google Ads to prevent duplicate counting. Phone and WhatsApp clicks are measured as interactions, not proof of a conversation or sale.
You can manage or block cookies and website storage in your browser, and manage advertising settings with Google. These browser controls are separate from any consent choice offered by this website. The quote form is designed to work if browser storage is unavailable. Following a WhatsApp link opens WhatsApp, where its own privacy terms apply.
Service providers and processing outside South Africa
Our website uses OpenAI's ChatGPT Sites and Cloudflare hosting infrastructure. Resend delivers submitted enquiries to our business email service. Google provides website analytics and advertising measurement. These services process information needed for their respective functions; Google does not receive the form's contact fields or message through our custom events.
These providers and their service partners may process information outside South Africa, including in the United States. Resend identifies the United States as its primary processing location. Information is therefore not restricted to storage in South Africa. The providers publish privacy, security and data-processing terms, linked below. Contact Sajid for information about the arrangements applicable to your enquiry; these links are not a claim that every provider agreement or transfer has been independently assessed for Aerotex.
Before approving this draft, Aerotex still needs to confirm the applicable provider agreements and safeguards for these transfers, including its business email service.
Security and how long information is kept
The website uses HTTPS, server-side form validation and request limits. Its anti-abuse database stores a keyed representation of a network address, a request count and time-window details, rather than a raw IP address or the content of the enquiry. Expired rate-limit records are scheduled for cleanup when subsequent requests are processed. Hosting and other providers may maintain their own technical records.
Personal information must not be kept longer than needed for the enquiry, quotation, order or other stated purposes, unless continued retention is lawfully authorised, for example by an applicable legal or contractual requirement. It must then be deleted or de-identified as soon as reasonably practicable. This is a retention principle, not a claim that our mailbox has a fixed automatic deletion schedule. Contact Sajid to ask about a particular record or request deletion, subject to applicable retention requirements.
Browser source context and the one-use marker have the limited uses described above. Google and other providers have their own storage and retention settings. No single deletion period is claimed for all of these systems, and no internet service can guarantee absolute security.
Your requests and complaints
You can contact sales@aerotex-foam.com to ask about personal information we hold about you, request access or correction, request deletion where applicable, or object to processing where the law allows. Where processing relies on consent, you may withdraw that consent. We may need to verify your identity before providing or changing records, and legal retention requirements may limit a deletion request.
